Article Withdrawal Policy

Authors of Biomedical Journal of Scientific & Technical Research (BJSTR) may request withdrawal of their submitted manuscript at any point before publication by sending a formal withdrawal request to the editorial office. Since manuscript handling in BJSTR involves editorial assessment, peer review coordination, technical checks, and production resources, withdrawal requests are processed under strict journal policies.

Submission of a manuscript to BJSTR indicates that all authors have agreed to the submission and are committed to the publication process unless valid reasons arise for withdrawal.

Reasons for Manuscript Withdrawal

A manuscript may be withdrawn due to various valid reasons, including but not limited to:

  • Significant errors identified in the research data or conclusions
  • Duplicate submission to another journal by mistake
  • Ethical issues related to authorship, plagiarism, or permissions
  • Institutional or funding-related concerns
  • Personal or professional circumstances affecting publication

Authors are encouraged to resolve such issues before submission whenever possible.

Withdrawal Request Procedure

A withdrawal request must be submitted by the corresponding author through the journal’s official communication channel i.e., by mailing the withdrawal request form of BJSTR. The request should contain:

  • Full manuscript title
  • Manuscript ID or reference number
  • Name and contact details of corresponding author
  • Detailed reason for withdrawal
  • Confirmation that all co-authors agree to the withdrawal

Incomplete requests may delay processing.

Before Peer Review

If a withdrawal request is received to the journal before the manuscript enters peer review or editorial processing, the manuscript may be withdrawn with minimal administrative formalities. Since limited resources are used at this stage, approval is usually quicker.

However, authors should notify the journal immediately after making the decision.

During Peer Review

Once the peer review process of the article has started, editors and reviewers dedicate significant time and effort to evaluating the manuscript. Withdrawal during this stage affects our journal workflow and consumes reviewer resources.

Therefore, withdrawal requests submitted during peer review are carefully reviewed and require proper justification.

After Acceptance

Withdrawal after manuscript acceptance is strongly discouraged. At this stage, the article may already be undergoing:

  • Copyediting
  • Formatting
  • Proof preparation
  • DOI allocation
  • Publication scheduling

Because substantial editorial resources have been invested, withdrawal after acceptance requires serious justification.

During Production Stage

When a manuscript reaches the production stage, including early online release, typesetting, proofreading, or final publication preparation, withdrawal becomes more complex. Administrative, editorial, and publishing resources have already been committed.

Requests during this stage are evaluated case-by-case by the editorial board.

After Online Publication

Once an article is published online or appears in a journal issue, withdrawal is generally not permitted because published articles become part of the permanent scholarly record.

In exceptional situations involving major scientific errors, legal concerns, or publication ethics violations, the journal may consider correction, retraction, or removal according to publishing ethics guidelines.

Unauthorized Withdrawal

Authors must not assume that a manuscript has been withdrawn simply by sending an email request. Withdrawal becomes effective only after official written confirmation from the journal.

Submitting the same manuscript elsewhere without receiving withdrawal approval may be considered unethical academic conduct and may lead to restrictions on future submissions.

Editorial Rights

The journal reserves the right to accept, reject, delay, or further investigate any withdrawal request based on:

  • Stage of manuscript processing
  • Validity of withdrawal reason
  • Ethical considerations
  • Administrative workload
  • Publishing status

The editorial office’s decision regarding withdrawal shall be final.

Author Responsibility

The corresponding author is responsible for ensuring that every co-author is informed and agrees with the withdrawal request. Any dispute among authors regarding withdrawal may result in suspension of processing until the matter is resolved.

Authors are expected to follow ethical publishing standards throughout submission and publication.

Formal Withdrawal Confirmation

After approval of the withdrawal request, the editorial office will issue an official manuscript withdrawal confirmation letter to the corresponding author. This letter serves as formal evidence that the manuscript has been removed from journal consideration.

Without this confirmation, the manuscript remains active in the submission system.

Manuscript Withdrawal Charges

Authors may withdraw their manuscript without any withdrawal charges if the withdrawal request is submitted within three 48 hours from the date of manuscript submission.

If the withdrawal request is made after the manuscript has entered peer review, production processing, early online release, ahead-of-publication stage, or after online publication, 50%- 80% withdrawal charges may apply to cover editorial, administrative, and processing expenses.

Upon successful withdrawal, the editorial office will provide the corresponding author with an official Manuscript Withdrawal Letter.

As per journal policy, withdrawal charges become applicable when manuscript withdrawal occurs after substantial editorial or publication work has already been completed.
